Gardeners Longlands is committed to providing gardening and grounds maintenance services in a manner that protects the health, safety, and welfare of our employees, contractors, clients, visitors, and members of the public. We recognise that effective health and safety management is an essential part of delivering high quality horticultural work in domestic gardens, commercial landscapes, and shared green spaces.

Policy Aims

The aim of this Health and Safety Policy is to prevent injury, ill health, and damage to property or the environment arising from our gardening activities. We will identify, assess, and control risks associated with our work, including the use of tools and machinery, the handling of plants and materials, and the movement of vehicles and equipment in and around client sites.

Management Responsibilities

Management at Gardeners Longlands has overall responsibility for ensuring that health and safety standards are implemented, monitored, and reviewed. This includes providing adequate resources, equipment, information, training, and supervision so that work can be carried out safely and in accordance with relevant legislation and good industry practice.

Management will ensure that risk assessments are completed for key gardening activities, safe systems of work are developed and followed, and any incidents, near misses, or hazards are reported, investigated, and addressed promptly.

Employee Responsibilities

All employees and regular contractors have a duty to take reasonable care for their own health and safety and that of others who may be affected by their actions or omissions. This includes cooperating fully with the company in implementing this policy and all related procedures.

Employees must use equipment, tools, and personal protective equipment correctly, follow training and instructions, and report hazards, defects, incidents, or concerns to their supervisor without delay. Everyone working for Gardeners Longlands is expected to contribute actively to maintaining safe and tidy work areas in gardens and landscaped sites.

Risk Assessment and Safe Working Practices

We will carry out suitable and proportionate risk assessments for gardening tasks such as grass cutting, hedge trimming, tree and shrub work, planting, weed control, and soft or hard landscaping activities. These assessments will identify hazards, evaluate risks, and determine the necessary control measures.

Safe working practices will be developed and reviewed regularly to reflect the nature of our services and any changes in equipment, materials, or work locations. Where necessary, site-specific assessments will be conducted to address particular conditions such as uneven ground, restricted access, nearby traffic, water features, or overhead services.

Training, Instruction, and Supervision

Gardeners Longlands will provide appropriate health and safety training and instruction relevant to each role. This may include the safe use of powered and hand tools, manual handling, working at height using ladders or access equipment, handling of fuels and garden chemicals, and awareness of environmental and weather-related risks.

New employees and contractors will receive an induction covering our health and safety arrangements, emergency procedures, and expectations for site conduct. Ongoing supervision and refresher training will be provided where necessary to ensure that safe standards are maintained.

Machinery, Tools, and Personal Protective Equipment

We will ensure that all machinery and tools used in the provision of our gardening services are suitable for their intended purpose, maintained in good working order, and inspected at appropriate intervals. Defective or damaged equipment will be taken out of use until repaired or replaced.

Suitable personal protective equipment will be provided where required, such as safety footwear, gloves, eye and hearing protection, and high-visibility garments. Employees must use and look after this equipment and report any loss or defects immediately.

Chemicals, Fuels, and Hazardous Substances

Where garden chemicals, fuels, or other hazardous substances are used, they will be selected, stored, handled, and applied in accordance with manufacturer instructions and applicable regulations. This includes weed control products, fertilisers, fuels for machinery, and cleaning agents.

Assessments will be carried out for substances that may present a risk, and appropriate control measures, including protective equipment and safe disposal arrangements, will be implemented. We will always aim to minimise the use of hazardous substances and consider safer alternatives where practicable.

Manual Handling and Ergonomics

Many gardening tasks involve lifting, carrying, digging, and repetitive movements. Gardeners Longlands will take steps to reduce the risk of manual handling injuries through planning, use of mechanical aids where possible, team lifting of heavy items, and training staff in correct techniques.

Work will be organised to reduce unnecessary strain, and staff are encouraged to take sensible breaks, rotate tasks where possible, and report any discomfort or early signs of injury so that adjustments can be made.

Working Outdoors and Environmental Conditions

Our gardening work is primarily carried out outdoors and may expose workers to varying weather conditions, sun, heat, cold, rain, and wind. We will assess and manage these environmental risks, including encouraging appropriate clothing, sun protection, hydration, and safe working practices during adverse weather.

Where severe conditions pose unacceptable risk, work will be postponed or adapted to maintain safety for our team and for anyone in the vicinity of our work sites.

Site Security and Protecting the Public

Gardeners Longlands will plan work to minimise risks to clients, visitors, neighbours, and members of the public. This may include setting up controlled work areas, using barriers or warnings where appropriate, managing vehicle and equipment movements safely, and avoiding creating unnecessary trip hazards.

Tools and machinery will be secured when not in use, and care will be taken when working near property boundaries, public footpaths, shared access ways, and parking areas.

Accident Reporting and Emergency Procedures

All accidents, injuries, near misses, and dangerous occurrences will be recorded and, where necessary, investigated so that causes can be identified and corrective actions taken. First aid arrangements will be in place, and staff will know how to obtain assistance if an incident occurs while working at a client site.

Emergency procedures will cover issues such as fire, fuel spills, injury, or sudden illness. Employees must familiarise themselves with these procedures and act promptly and responsibly in the event of an emergency.

Monitoring, Review, and Continuous Improvement

Gardeners Longlands will monitor the implementation of this Health and Safety Policy through regular reviews, inspections, and discussions with staff and contractors. Feedback from clients and other stakeholders will be considered where it relates to safety matters.
